We are looking for an Executive Assistant to join our team. The Executive Assistant is responsible for providing comprehensive support to the CEO and managing the organization’s office operations. The ideal person for the job will be a proactive problem solver with exceptional communication skills and a meticulous attention to detail. They will have previous experience working in an office environment, performing administrative duties and providing support to management.

Major Functions/Accountabilities:

This dynamic position requires the ability to anticipate needs, think critically, and offer solutions to problems with a high level of professionalism and confidentiality. This may include, but is not limited to:

  • Providing sophisticated calendar management for CEO, including agendas, mail, email, calls, travel arrangements, client management, and other company logistics. Prioritizing inquiries and requests while troubleshooting conflicts; making judgements and recommendations to ensure smooth day-to-day engagements.
  • Completing a broad variety of administrative tasks that facilitate the CEO’s ability to effectively lead the organization, including: assisting with special projects; designing and producing complex documents, reports, and presentations; collecting and preparing information for meetings with staff and outside parties; composing and preparing correspondence; maintaining contact lists; making travel arrangements; creating and sending out invoices; and completing expense and mileage reports.
  • Working closely with the CEO to keep them well informed of upcoming commitments and responsibilities, following up appropriately. Having a sense for the issues taking place in the environment and keeping the CEO updated. Anticipating CEO’s needs in advance of meetings, events, etc.
  • Working with senior staff members to coordinate the CEO’s outreach activities. Following up on contacts made by the CEO to cultivate ongoing relationships
  • Managing all aspects of organization’s office services. Evaluating and assisting in developing office policies and procedures for improved workflow and anticipate future needs as organization grows. Assisting in the selection of vendors and purchase equipment, services, and supplies necessary for operation of organization.
  • Replenishing office materials such as printer supplies, paper, office supplies, etc.
  • Providing event management support as requested.
  • Undertaking other projects/duties as assigned for the overall benefit of the organization.


This position requires a minimum of 2 years’ experience providing executive support to a senior executive or high-level management group.

Additional Qualifications

  • Demonstrated ability to handle confidential and sensitive information
  • Skilled in PowerPoint and/or Keynote, Word, Excel, and Outlook
  • Excellent verbal and written communication skills including demonstrated telephone etiquette skills
  • Ability to assume responsibility, function effectively in a team environment or independently, with minimal supervision
  • Detail-oriented and organized
  • Demonstrated proactive problem-solving skills
  • Ability to function in an environment with competing and changing priorities
  • Flexibility and willingness to learn new skills
  • Enthusiastic, high-energy and initiative-taking personality a must
  • Team-oriented with a positive attitude
  • Willingness and ability to work a flexible schedule that may include evenings, weekends and extended hours during event seasons
  • Able to handle high-stress situations calmly and professionally

Preferred Qualifications

  • Knowledge of nonprofit organizations and fundraising events

Pay: From $45,000.00 per year
