The Manager of Events oversees the fundraising and event management of non-profit fundraising events produced by a New York City-based fundraising and event planning consulting firm.  Responsibilities include working with non-profit clients, board and committee members, strategic partners, honorees, chairs and corporate sponsors.  This position is responsible for working with the CEO and Director of Events to create ways to exceed the financial goal for each client, and to manage various aspects of a variety of events including galas, conferences, cultivation events, and run/walk events. 

*Due to the current circumstances of COVID-19, many of our upcoming events will be virtual or have a hybrid in-person/virtual structure for 2021.

Major Functions/Accountabilities:

Manage all aspects of 5+ events (virtually and in-person) per year for various non-profit clients, under supervision of the Director of Events (DOE).  This may include, but is not limited to:

  • Venue/virtual event platform recommendation and selection; sourcing vendors for our virtual events. Building out the virtual event pages on various platforms that are aligned with clients’ needs and branding.
    • Researching and gaining a full understanding of all virtual event components. Drafting technical instructions for upcoming virtual events for guests and clients to use for reference.
    • Production of printed and electronic materials, maintaining event timelines & budgets (and building each for new events), drafting run of show, staffing assignments and program scripts.
    • Recruiting, training, and managing event volunteers, and acting as event point-person on-site (or virtually).  Oversee recruitment, training, cultivation and stewardship of peer-to-peer fundraising event participants and sponsors.  
    • Management of tracking client data including event contributions, sponsors, invoices and committee meeting minutes.
    • Work with honorees, chairs and award recipients for all events on mailing list compilation and distribution; sponsor solicitation, meetings, contribution updates and post-event communication.   For peer-to-peer events, work with event participants to assist them with fundraising, incentives, outreach, and the like.
    • Work closely with non-profit client staff, volunteers and donors in all aspects of the events.
    • Build relationships with existing clients and networking in the nonprofit market, working closely with the CEO to identify new opportunities for the firm.  Work closely with DOE, CEO and Event Coordinators in overseeing aspects of events as needed.

Overall:

The Manager of Events will work closely with the Director of Events and Event Coordinators in the planning and execution of 5+ annual fundraising events/virtual events and will oversee specific projects for each client.  Additional responsibilities will include management of auctions and raffles, coordination of the production of printed/electronic  journals and design materials, website updates and additional assistance with events tasks as needed.    Key responsibilities for all events include an extensive understanding of technology and adapting quickly to new technology and platforms and managing all logistical event related needs. Responsibilities related to peer-to-peer fundraising events include cultivation and solicitation of past, current & prospective participants; expert-level management of a CRM to track participants and donations; work with volunteers to assist with community outreach, marketing, logistics, recruitment, sponsorship and in-kind donations;  volunteer recruitment, training, and stewardship; heavy participant customer service via email and phone; promote, and be an expert with, online fundraising tools. 

Requirements:

This position requires a bachelor’s degree, 3-5 years event experience (fundraising events preferred),strong technical background (comfortable managing/learning/recommending technology and is a must), and experience with social media is a plus.

  • Willingness and ability to work a flexible schedule that may include evenings, weekends and extended hours during event seasons

  • Knowledge of nonprofit organizations and fundraising events
  • Strong writing and editing skills
  • Comfortable handling meticulous work that includes focusing on attention to details
